Receipt Checklist and Procedures
Vendor fuel and oil receipts must have the following information:
Vendor Name and Location.
Tail number and Credit Card number (last 4 digits).
Receipt date the same as the sortie date? (This may be one day later with no further explanation.)
Gallons are correct.
The price per gallon and total dollar cost.
Receipt must be legible in its original form, especially hand-written receipts. DO NOT trace over original receipt for legibility.
You can fly multiple sorties without refueling if they are the same mission symbol. If you have more than one receipt for one sortie, (i.e., pre- and post-flight refueling) combine receipts into one .pdf. Label the receipts as Preflight and Postflight.
COWG Operating Instructions require the following additional information on your receipt:
Pilot name and CAPID
Hobbs time(s) covered by this refueling. Also, explain on the receipt and in Air Sortie Debrief Crew Notes which sorties are included on the receipt (for example: Fuel includes sorties 45 and 46).
COWG Alert and Paging System
The Colorado Wing Alert and Paging System is triggered whenever a REDCAP or similar alert needs to be sent. The system will send messages as text messages to smartphones, as e-mails, and to AMS.NET pagers.
Seniors / Cadets: You must complete the General Emergency Services (GES) qualification and either be qualified or a trainee in any Emergency Services skill in order to be added to the COWG Alert System.
Colorado Wing alert pages for REDCAPs are sent to groups. We have four alerting groups in COWG:
Group 1: Front Range North
Group 2: Western Slope
Group 3: Front Range South
Group 4: Greater Denver Area
Emergency Services members: Use this form to contact the Alert Manager to enroll, update, or remove your information in the alert system.
